Kiosk Settings

In the kiosk app

Where can these be found?

  • Log in to the kiosk as an admin using an NFC chip
  • Scroll down in the menu on the right if necessary
  • Tap Manage kiosk

Available options

  • Kiosk language (dropdown)
    • Here you can change the language displayed on the standby screen.
    • After checking in with an NFC chip, the user's language is displayed.
  • Log in to Sentry
    • If this option is active, error messages are automatically sent to our Sentry system so that we are informed at all times whether and what has happened.
This option is active by default for Personalwolke kiosks.
  • Kiosk name
    • Name of this kiosk device, chosen during registration. You will also find the device under this name in Webdesk.
  • Android device ID
    • Unique ID of the Android system that a kiosk uses to identify itself to Webdesk.
When the caches of the kiosk app are cleared, the kiosk uses this ID to identify itself to Webdesk so that it loads the old settings without having to register again.
  • Software version
    • Current version of the software
  • Update to / You are up to date / Start update (button)
    • Button with 3 functions relating to the kiosk app update. Depending on the context, this button displays a different name and performs the corresponding behavior.
    • Update to x.y.z - Displayed when a new version is available. Clicking the button updates the app to the latest version (the one shown on the button).
    • You are up to date - Displayed when there is no new version to update to.
    • Start update - Displayed when you enter a URL in the field below from which the kiosk app should take the next version. Useful for testing purposes and for customers whose kiosk has no internet access and who want to place the latest app on an internal server and update from there.
  • Custom update URL
    • URL to be used for updating via the "Start update" button.
  • Use Webdesk configuration
    • If this is enabled, the configurations set for the kiosk in Webdesk are used. If the settings in Webdesk differ from the local ones, the local settings are overwritten with those from Webdesk. When this option is disabled, the settings are NOT reset. They remain as they were at the time of deactivation.
    • If the option is disabled, you can change the configurations on the kiosk without them being overwritten by the Webdesk settings.
  • Enable automatic update
    • If the option is enabled, the kiosk automatically tries to update to the latest version.
  • Enable automatic configuration update
    • Works in tandem with the option "Use Webdesk configuration" above. If it is enabled, the Webdesk settings are loaded automatically from Webdesk, similar to the "Load latest config" button. The frequency of loading the settings is determined by the setting "Time interval for checking the kiosk status (minutes)", the so-called "heartbeat", in the Webdesk settings.
  • Load latest config (button)
    • Loads the current configuration from Webdesk. Depending on whether the Webdesk configurations can be applied (see "Use Webdesk configuration"), the configurations are then also applied to the kiosk.
  • Enable kiosk log
    • Enables the logging of information on the kiosk. Calls to the server, responses from the server and error messages are logged here.
    • Automatically creates log files that are transferred to Webdesk.
  • Show live log console
    • Displays a logging console through which you can see the logs live on the kiosk
  • Current kiosk preset (dropdown)
    • Defines the "mode" in which the kiosk runs. Regardless of which preset is used, if the employee has not been granted the corresponding functions in Webdesk, error messages appear stating that the functions are not enabled. For example, if the employee has not activated time tracking and the kiosk is set to time tracking or combined.
      • Combined Kiosk App - time tracking and project time kiosk combined
      • Time and attendance only - only project time functions can be used
      • Project time booking only - only time tracking functions can be used
  • Show TA attendance values
    • Shows the currently booked actual time under "Status" and under "My info".
  • Show projects nested
    • If enabled, projects are displayed nested when there are more than 10 projects. Here you can open non-bookable projects like folders and then book to projects at the lowest level.
    • If disabled, projects are displayed in a flat list. Here you can also book to non-bookable "project folders".
  • Action when reading a card (dropdown)
    • Determines which action is selected by default on the standby screen.
    • This option depends on the kiosk mode. For example, time tracking-specific actions cannot be selected if the kiosk mode is set to project time.

In Webdesk

Where can these be found?

If they are available, the options can be found under the following menu item:

  • Administration → Kiosk → Kiosks
  • Then open a kiosk
  • Here you will find the header area with the most important information, the "Settings" tab with a dropdown through which you can reach different configurations, and the "Logs" tab.

Header area

  • Client
    • Enter the client for which the kiosk is activated here.
    • Users from other clients cannot use this kiosk.
  • Name
    • Name of the kiosk
  • Notes
    • Additional information for the kiosk. Useful for the position/location/status of the device
  • Serial number
    • Number on the back of the device. Starts with "GS"
    • The serial number of the device can be entered here so that you do not have to take the device off the wall mount to get to the serial number.
  • Time interval for checking the kiosk status (minutes)
    • Also called "heartbeat".
    • Like a heartbeat, the kiosk periodically sends a sign of life, through which Webdesk knows that this device is active and connected to Webdesk.
    • The heartbeat also sends information such as the app version to Webdesk.
    • In addition, the heartbeat also requests the current configuration from Webdesk. Depending on the settings on the kiosk, it is then applied or not.
  • Permitted applications (not editable)
    • Shows the application for which the device was registered.
    • Is linked to the access permission collections that determine what the device can access.
    • Important info: This function will change in the future. Starting with kiosk version 5, the preset can be selected on the kiosk (see above in the kiosk configurations). In the future, this configuration will be synchronized here and the kiosk can be switched from Webdesk. The access permissions will then be enabled for the entire application. There will then be no more distinctions in this regard.
  • Language (dropdown)
    • Here you can change the language displayed on the standby screen.
    • After checking in with an NFC chip, the user's language is displayed.
  • Device status (dropdown)
    • Option currently not in use.
  • External reference ID
    • ID of the kiosk that can be used for exports to external systems such as SAP.
  • Android device ID
    • Unique ID of the Android system that the kiosk uses to identify itself to Webdesk.
When the caches of the kiosk app are cleared, the kiosk uses this ID to identify itself to Webdesk so that it loads the old settings without having to register again.
  • Administrator group
    • Group of people who can log in to this device as administrators with their username.
    • Has no effect when logging in with the NFC chip.
  • Show API key (button)
    • Clicking it displays the API key through which permissions are assigned to the kiosk.

"Settings" tab - "Kiosk settings" in the dropdown

  • Time zone (project time) (dropdown)
    • Here you can select a time zone for the respective kiosk device. It affects only the kiosk device and project times.
      • The time in the kiosk app is displayed according to the selected time zone.
Important note: Do not change the time zone or the time on the tablet itself. This can lead to undesired behavior. Only set the time zone in the kiosk settings in Webdesk.
      • Booked project times are displayed in the selected time zone, both on the kiosk and in Webdesk.
    • The time setting is synchronized to the kiosk device with the next heartbeat.
  • Show working time
    • See "Show TA attendance values" in the kiosk settings on the kiosk.
    • Additional option: "Use client setting" applies the default setting configured in the client settings to this kiosk.
  • Exact working time
    • "Yes": Shows the exact working time calculated by Webdesk. It is somewhat slower because all booking information must be taken into account.
    • "No": Shows the quick working time calculated by Webdesk. It is calculated faster, but is only based on the bookings, without taking into account any overtime premiums, core time violations, etc.
    • Additional option: "Use client setting" applies the default setting configured in the client settings to this kiosk.
  • Default action when reading a card
    • See "Action when reading a card" in the kiosk settings on the kiosk.
    • Additional option: "Use client setting" applies the default setting configured in the client settings to this kiosk.
    • Important note: If an option is selected here that conflicts with the selected kiosk mode, the predefined default action is used. The following default actions are predefined:
      • Combined Kiosk App - Status
      • Time and attendance only - Attendance
      • Project time booking only - Project time booking
  • MyInfo tabs to display
    • Use client setting (dropdown)
      • "Yes" - Applies the default setting configured in the client settings to this kiosk, and the settings in the next field are not active and are no longer used.
      • "No" - You can select the tabs in the next field.
    • Tabs
      • Booking graph: Graph showing attendance for the last 7 days
      • Accounts: Shows accounts for the current day, based on the configuration of ta_showPersonalData.act in Webdesk
      • Current working time: Shows the user's current working time
  • Initial MyInfo tab
    • Here you select which MyInfo tab should be displayed first when the action is opened on the kiosk.

    • See "Show projects nested" in the kiosk settings on the kiosk.
    • Additional option: "Use client setting" applies the default setting configured in the client settings to this kiosk.

"Settings" tab - "Projects of the kiosk" in the dropdown

Here you can assign projects to the kiosk. To do so, select the respective top-level project, which makes all of its subprojects available on this kiosk. You can ONLY assign top-level projects to a kiosk.

In addition, you can also assign projects to kiosks within the projects. To do so, open a project and navigate to the respective top-level project. There, go to the "Kiosk" tab and add a new entry by selecting the kiosk on which this project should be available.

Logs tab

The log files that were sent from the kiosk to Webdesk are displayed here. You can download the files here in order to view them.
